These are the essentials that can really help the planning process, covering everything from understanding what’s included in the venue hire fee to knowing the plan for wet weather. Is Your Preferred Date of Your Wedding Available?
So a pretty obvious question to begin - confirm the availability of your preferred wedding date and enquire about alternative options if you're flexible. Once you’ve identified a suitable date, ask how long the venue can hold it for you. If you’re planning a legal ceremony, be sure to check with the local registrar’s office to ensure the date and time align with their availability before finalising your venue booking. Usually venues will hold the date for at least 48 hours, giving you time to make arrangements for the legal part of your ceremony.
What’s Included in the Wedding Venue Hire Fee?
Understand what’s included in the venue hire fee - such as tables, chairs, linens, lighting, glassware, sound system and decor. Equally important, ask what isn’t included to avoid surprises later. Knowing what you’ll need to source yourself can help with budgeting and planning.
Do You Provide a Wedding Coordinator or Point of Contact for the Day?
Having an experienced point of contact at your chosen venue is invaluable. Ask if the venue offers a dedicated coordinator who can assist with logistics on the day and if not, clarify what level of support is provided and whether you’ll need to arrange for a coordinator or extra help.
What Parking is Available at the Wedding Venue?
Is there sufficient parking for your guests or are there alternative transportation options? If parking is limited, ask about arrangements for taxis and drop-offs. For weddings in Cornwall, it’s worth noting that taxis can be hard to secure at short notice, so plan accordingly and advise your guests to book in advance.

If catering is required, ask whether the venue provides in-house catering, requires you to use their preferred suppliers, or allows you to choose your own. If the venue only offers you in-house catering or choice of one of their preferred suppliers, be sure to ensure you know all the costs up front.
What is the payment structure and cancellation policy?
Gain a clear understanding of the venue’s payment structure, including deposit amounts, payment schedules, and any additional fees. Ask about their cancellation policy - knowing how changes or cancellations are handled can provide peace of mind.
What facilities are available for guests?
Ask about the facilities provided, such as parking, bathrooms, accessibility features, and amenities for children.
